Improve your reception areas with a Visitor Management Kiosk and impress your visitors

Already as the year has started to kick into gear we are talking everyday about Visitor Management Kiosks. A Visitor Management Kiosk can help you manage the reception area freeing up some of the reception or admin staff to perform other tasks. In some instances in 2013 we had customers putting Visitor Management Kiosks in place to replace the function of the receptionist greeting visitors, moving the receptionist back into admin.

Today we will cover what a Visitor can do when using your Visitor Management Kiosk, next week we will discuss the types of visitor management kiosks available today and the following week we will cover what additional items you can add to your visitor management kiosk to further improve the visitor experience.

Next week I will also share the story of how I helped one of our customers in Canada last week buy multiple touch screen visitor management kiosks while googling together through Staples online in Canada. I will also share how easy it is now to use an iPad in your reception area

Today you can make your Visitor Management Kiosk look very smart in your reception area. We can personlise the kiosk with your company details. It is so easy to personalise your visitor management kiosk. You could easily change the kiosk image weekly or for the seasons.

A Visitor Management Kiosk will primarily manage 3 Visitor issues that exist today in most businesses.

  • Replace the manual visitor book that for the most part is illegible and almost impossible to gather data from when needed over a long period of time.
  • Free up reception time not having to chase down hosts of visitors.
  • Correctly gather important information

Today an electronic Visitor Management System will allow you to collect all information you require from your visitor right from the Visitor Management Kiosk without taking up a moment of your reception time. An example of the type of information you can gather comes from a dozen or more recent inquiries that we have received from customers who have been asked to comply with further information required by their visitors. This group of inquiries that included another large parcel company this week have been asked by customs to collect more information on visitors to their warehouses.

3 Standard questions are required and reported on at a Visitor Management Kiosk

  1. What is your name?
  2. Where are you from?
  3. Who are you here to see?

An electronic Visitor Management Kiosk gives you the ability to set up and ask a range of questions relevant to your business. Some examples of common additional questions include

  • Do you have anyone else checking in with you?
  • Would you need assistance to evacuate in the event of an emergency?
  • Are you parked in the car park?

The information required recently by customs included

  • Full Name including middle names
  • Full address of business or home
  • Drivers licence number or medicare number
  • Vehicle registration number

Examples of create any question you need for your business from recent customers include

  • Have you been on an animal farm in the past 7 days
  • How long will your visit be?
  • What is the purpose of your visit (with drop down menu of choices

You can ask your visitor any question you need through the self create question creator. The purpose of additional questions at sign in by a visitor is to gather information that can be reported on quickly and easily. An example of one of the recent inquiries that required information by customs included 2 weeks to gather the relevant information from the manual systems when asked to produce all the details around all the visits by one person over a 12 month period into a single warehouse.

An Electronic Visitor Management System with Visitor Management Kiosk would allow you to produce the same report in a matter of 10 to 15 seconds.

At the completion of the visitor filling in the details you require an email and or SMS can be sent to the visitors host alerting the host you are in reception
